This position has the primary responsibility for collecting, reviewing and processing all the personnel data from the Human Resources group and entering it in the HR system (Success Factors, ADP EV5 as needed).


Under the direction of the HR Director, the HR Specialist is responsible for ensuring that all the day to day personnel data changes for all employees are reviewed for accuracy, and timely data entered within service level agreement and agreed upon processes and procedures. This position will work in close collaboration with Field HR, Payroll, HR, HRIS and other departments to ensure timely and accurate entry of all personnel data transactions. In addition, will be a contact for all HR data entry related questions, issues, and concerns.



This section describes the core responsibilities of this position. Duties may vary dependent on department staffing and seasonal fluctuations


  • Responsible for the collection of all personnel administrative data including new hire paperwork, forms and emails submitted and ensuring they are entered into the appropriate HRIS, payroll and support systems accurately and in a timely manner.
  • Serves as the initial point of contact to support candidate selection and screening activities. This includes creating offer letters, monitoring pre hire activities and communicating timely status updates.
  • Coordination and distribution of New Hire Packet to ensure all New Hires have the appropriate information needed and a smooth start within the organization.
  • Responsible for the timely and accurate entry of all personnel data within agreed service levels.. This requires assessing paperwork for completion and accuracy, proactive outreach to HR Business teams to support efficient, complete and timely processing and using good judgment to escalate or seek clarification, if needed.
  • Performs timely corrections and demonstrate willingness to improve performance based on feedback provided
  • Accountable for delivering both a continuous improvement mindset and tangible high value change by analyzing and reviewing reasons for escalations to proactively raise recommendations of improvement to your manager.
  • Work closely with the Payroll and HR teams on employee records, files, and updates.
  • Ensure compliance and data integrity throughout the system.
    • Strive to continuously broaden your subject area expertise by actively closing knowledge gaps and updating on legislative changes.
    • Follows established guidelines, policies and procuredures and makes suggestions for improvemen



Required Skills:

  • Understanding of HR processes and data procedures in order to ensure correct data entry.
  • Basic knowledge of generally accepted personnel management practices and regulations.
  • Sufficient human relation and strong customer service skills to project a positive image of the department, convey instructions to others and deal with confidential information sensitively with and to others.
  • Strong knowledge of MS Excel, Word and PowerPoint.
  • Comfortable with embracing change and working in an environment that encourages taking initiative for continual process improvements.
  • Effective interpersonal skills including written and verbal communication skills to effectively work with diverse employees, management and others.
  • Strong attention to detail and ability to apply strong judgment with the knowledge and ability to escalate and ask for help to achieve positive desired outcome.
  • Ability to learn and interpret the policies and procedures, techniques and rules governing human resources management within a reasonable time period.
  • High School Diploma. Bachelors Degree or related work experience preferred HR Management, Psychology, Business Administration or related field.


Required Experience:


  • Minimum of 3-5 years experience within HR, preferably in a Shared Service Center environment.
  • Experience with an HRMS such as SAP, PeopleSoft or ADP Ev5.
  • 2nd language, such as Spanish


Typical Schedule: M-F 8:00am-5:00pm or a modification of this schedule to support multiple time zones
